Risk Management Controls For Client Deliverables

State Specifically

  • For whom the deliverables were prepared.
  • The scope of work and any changes to scope, budget or schedule during the project.
  • Assumptions or specific information that could not be identified or was not available.
  • Identify if other’s work was relied on in preparation of the deliverable. Include who prepared, the date, and how it was obtained.
  • Disclose any relationships with the person/entity for whom the report was prepared or affirmatively state your independence.
  • Recommendations and the consequences of failing to implement them.
  • Do not provide recommendations or opinions verbally.
  • Date and sign.

Limitations

  • Limit the report’s distribution and usage to the client only, and include limitations of liability if relied on by other parties.
  • Limit the report’s use to application in its entirety.
  • Limit the report’s findings as to date and limitations of liability as a result of changes since the date.
  • Limit the report’s findings to specific locations, as applicable, and declare limitations of liability resulting from variations between locations.
  • If the report covers only part of issues of the site, state that additional information is required to identify and correct all concerns. For example, “This report covers only the geologic aspects of the proposed project. It does not consider the engineering and economic factors for determination that reserves exist.”
  • Note any factors outside your work scope that would affect the project and recommend appropriate work.

Write Simply And Clearly

  • Know your audience.
  • State conclusions, recommendations, opinions, and facts separately.
  • Provide negative and positive information.
  • Identify risks, alternatives, and consequences. Don’t assume a level of sophistication by the reader.
  • Be cautious with clauses having economic, degree of assurance, safety limit, or qualitative implications. Define your word choice, use words consistently throughout the document, and use generally accepted definitions.

Keep copies of final reports and their peer review documentation forms.
